FLECKNEY WALKING CLUB – CONSTITUTION

Name and Objectives

The Club shall be known as FLECKNEY WALKING CLUB (FWC) with the objective of promoting the enjoyment of walking in the countryside, whilst offering the chance for all ages to socialise and exercise in the fresh air.

MANAGEMENT COMMITTEE

The committee shall comprise a Chairperson, Vice Chairperson, Secretary, Treasurer. Programme Organiser, Website and Communication Officer. Members may be co-opted onto the committee as required. Meetings will be held quarterly or more often if necessary. A quorum for the meeting of the Committee shall be any four of the elected officers.

MEMBERSHIP OF THE CLUB

Membership of the club shall be open to anyone with an interest in walking and joining with others on walks organised by FWC, and in agreement to abide by the Club’s Constitution and Rules, and pay the current annual membership fee.

ANNUAL GENERAL MEETING

The secretary will notify members at least 21 days prior to the date of the meeting and produce an Agenda. Members may request items for discussion to be included in the agenda.

The AGM will be held in (January / February) each year where nominated officers, duly proposed and seconded, will be elected for the following 12 months. A quorum for the meeting shall be 10 members.

The current Officers will be invited to present reports of their activities over the past year.

The Chairperson shall have the deciding vote in any tied voting situations.

INCOME and EXPENDITURE

The Treasurer will produce a balance sheet for the AGM, accounting for all income and expenditure for the past 12 months and be prepared to answer member’s questions.

The members’ subscriptions for the next 12 months (commencing 1st January) will be determined at the AGM and will be due for payment at the meeting or within 60 days thereafter. Failure to make payment will result in membership lapsing.

DISSOLUTION

If it is deemed necessary to disband the Fleckney Walking Club, the resolution must be passed at a quorate meeting of at least 51% of the current paid up members, after at least 21 days notice has been given of the proposal. Any assets shall be disposed of between the current paid up members. Any deficits shall also be the liability of current members.

Fleckney Walking Club: Rules for Members

      1. Safety and Etiquette

  • Follow the Walk Leader: Listen to and respect the decisions of the walk leader, who is responsible for the safety and well-being of the group.

  • Carry Essential Items: Walkers should check the weather forecast before setting out and bring appropriate clothing, sturdy footwear, and enough food and water—especially in hot weather.

  • First Aid: The walk leader (or associate) will always carry a first aid kit. While it is optional for other walkers to bring their own basic first aid supplies, it is recommended.

  • Fitness: Walk details are available on our website (walking.fleckney.online). Please ensure you are fit enough for the walk you intend to join. Walk leaders may refuse participation to those they believe are inadequately equipped or unfit.

  • Children: Everyone is welcome on our walks! However, under 18s must be accompanied by a parent, older family member, or a club member with written parental consent.

  • Maintain a Safe Pace: Do not force the pace or get too far ahead of the group. Allow for comfort breaks as needed. When turning at a sharp or blind bend, ensure those behind know the group’s direction. Remember, we all share responsibility for our own safety and that of fellow walkers.

  • Stay in Single File: On narrow paths or field edges, walk in single file to avoid obstructing the path or damaging the environment.

  • Respect Farmland and the Environment: Follow the Countryside Code (walking.fleckney.online/the-countryside-code). Leave gates as you find them and use designated entry points. Public Rights of Way present a variety of surfaces and obstacles, including slippery ground, mud, uneven terrain, loose rocks, potholes, stiles, footbridges, fallen trees, steep inclines, sharp drops, and invasive vegetation. Many paths cross fields with livestock, where walkers should proceed calmly and quietly, ensuring all gates are firmly closed after passing through.

  • Take All Litter Home: Do not leave any waste, including wrappers, fruit, or other debris.

  • Be Mindful of Wildlife: Protect wildlife, plants, and trees, and avoid disturbing them.

  • Do Not Block Farm Entrances: When parking, ensure that farm entrances remain clear.

  • Emergency Contact Information: Carry an up-to-date emergency contact card and any medication you may need and know how to contact emergency services.

      1. Club-Specific Rules

  • Membership: Understand and adhere to the club’s membership requirements and procedures.

  • Termination of Membership: Membership may be terminated for reasons such as failure to pay dues or engaging in unacceptable behaviour.

  • Social Media: Adhere to the club’s social media policies and refrain from posting abusive, misleading, or inappropriate content.

  • Insurance: Familiarise yourself with the club’s insurance coverage, including what is and is not covered.

  • Leading a Walk: Members of the Club are all encouraged to organise walks.

  • Leaving a Walk: Walkers may leave the walk at any time on the understanding that they are no longer part of the walk from that point onwards. They must advise the walk leader of their intention to leave the walk. The walk leader will then assess the situation with the group and make an informed decision about assisting the person leaving the walk.

  • Walk Cancellation: In the event of bad weather, walk leaders may cancel a walk at their discretion. Where possible, cancellations will be displayed on our website home page the day before the walk, and members will be notified via email. Walkers are advised to check the website or contact the leader before setting out to confirm that the walk is going ahead.

  • Dogs: If permitted, dogs must be kept on leads at all times. Anyone wishing to bring a dog on a led walk must contact the walk leader at least one day in advance to check terrain suitability. The final decision on allowing dogs rests with the walk leader. If dogs are not permitted, this must be communicated before the walk. Owners must clean up after their dogs and provide verbal confirmation to the walk leader that their dog is covered by pet owner’s liability insurance before the walk.

  • Pets: Other pets must not be taken on walks.

  • Bikes and Scooters: Bikes and scooters must not be transported on walks.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

If you send us inquiries via the contact form, your details from the inquiry form, including the contact details you provided there, will be stored in order to process the request and in case of follow-up questions. Of course, we will not pass on this data. Additionally, the contact form submission data — IP address, user agent, name, email address, website, and message — is submitted to the Akismet service for the sole purpose of spam checking.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. This server data used for the exclusive purpose of monitoring and preventing abuse and spam. Activity Tracked: Functionality cookies are set for a duration of 347 days to remember a visitor’s blog and post subscription choices if, in fact, they have an active subscription.

Who we share your data with

When sharing content via email, the following information is used: sharing party’s name and email address (if the user is logged in, this information will be pulled directly from their account), IP address (for spam checking), user agent (for spam checking), and email body/content. This content will be sent to Akismet so that a spam check can be performed. Additionally, if reCAPTCHA (by Google) is enabled, the sharing party’s IP address will be shared with that service. How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.
